Collaborating with Power BI
Power BI presents a great option to enhance the value of data, but this value is maximized when you collaborate with others through publishing, sharing, and embedding reports on different portals, websites, or applications. However, a Power BI pro or premium license is usually required to share with others and for others to view the shared report. There is an exception, that is, you can always publish your report on a public website to enable users to see it for free.
To collaborate in Power BI, you can embed reports on different applications such as SharePoint online and Microsoft teams, or use Portals and Power Apps. Sharing your reports and dashboards in a workspace or creating an app in Power BI is also a great way to share your work with a small group or bigger audience. Users with a trusted relationship can also copy and rebuild the report based on the data.
You also have the option of publishing your report on a public website to share your report with anyone on the internet who may interact with it or share it on social media without requiring a license. However, data refresh can happen approximately every two hours, and if your data is sensitive, you may not want to publish it. Power Automate can be integrated with Power BI, so you can trigger a flow based on the data.
However, embedding Power BI in websites and portals comes with limitations such as no support for Azure B2B and performance variability across different browsers. Additionally, users may also need to log in to access the reports. Collaborating with Power BI provides users with great options to share their work, but understanding the limitations is important.
