Many organization after taking backup of their Outlook 365 user accounts struggles to restore it back. But, don’t worry anymore! Here, in this guide, we will explain top two methods to restore pst file in Outlook 365. Using these methods you will be able to restore back the .pst file(s) of any version into single or multiple Outlook 365 accounts simultaneously.

Why Is It Required to Restore PST File in Outlook 365?

  • When you are switching over to Outlook 365 from desktop Outlook you probably want to take your data with you. It will be a nice idea to have an empty mailbox, but its possible that you might need your data in the future. 
  • If you have backed up your account data and now wish to import the backup in same or another account then you need to restore PST file in Outlook 365 account. 
  • Whenever an employee leaves the organization, admin takes their account backup, so to restore the backup you need to add the .pst file into your accounts
  • Instead of sharing your account credentials, you can send the .pst file containing necessary emails and they can restore it in their Outlook 365 account. 

Methods For Restoring PST File Back into Outlook 365 Account 

Though there are methods such as Network Upload to do the task, but that are quite complicated to perform, if you are an expert in using Outlook 365 admin center then you can search for the method on Google, you will get the steps. 

But, if you aren’t familiar with Admin Center, then we have two solutions for you and these are: 

1. Using MS Outlook to restore pst file in Outlook 365 – Single User

2. Using Automated Tool to Restore PST file into Single/Multiple Users

Method 1: Using MS Outlook to restore pst file in Outlook 365 – Single User


This method is best suited for users that want to restore a single .pst file into a single Outlook 365 account only. By configuring your Outlook 365 account in Outlook and then restoring pst file, you can do this task. 

First, go to the File tab, and in Account, option provide the details of the Outlook 365 account to configure it. 

Once the configuration is finished, follow the below steps to restore PST file in Outlook 365 account: 

Step 1) Click on the file on the top left corner 

Step 2) Click on Open and export
 
Step 3) Navigate on open and export. You will be shown 4 options out of which you are required to select the Import/Export option under the heading of Open.

Step 4) Import and export wizard window from which you have to click on action. To choose an action program you have to select Import from another program or file which is 5th from the top.

Step 5) Next step would be selecting the file type to import and you are required to select Outlook data file (.pst) but you will choose the first option if you have Comma-separated values (CSV).

Step 6) A window will open in which you have to click on browse. 3 different options will be given to you out of which select the first one that is to replace duplicates with items imported. 
Click on next

Step 7) Under the heading of select the data to import from navigating to Outlook data file, put a tick on include subfolders and click on finish. 

Limitations 

  • You need to import one by one each file. This makes the procedure time-consuming.
  • You do not have an e-mail filter option.
  • Takes hours/days to configure an Outlook 365 account

Method 2: Using Automated Tool For Restoring File Into Multiple Outlook 365 Account


If you need to restore multiple PST files into multiple Outlook 365 accounts, then you can take the help of SysTools Import PST to Office 365 tool. This utility provides a simpler UI and multiple features that help technical/non-technical users to easily restore PST file in Outlook 365 accounts. 

Features of Automated Tool 

    1. Restores PST file of any version of Outlook 
    2. Use Add File(s)/Folder option to restore single or multiple .pst files
    3. Restore pst file into shared mailbox also. 
    4. Filter to restore selected category of item: Mails, Contacts, Calendars, Task. 
    5. Use date filter available for each category to restore particular date-range data
    6. Advance filter option to include/exclude folder from PST files 
    7. Incremental option to restore only new emails. 

Step 1) Download and run the Outlook 365 import tool
Step 2) Login as a “User” or “Admin” account. 
Step 3) Browse the PST file using Add File(s) or Folder option
Step 4) Map the User for each PST file and authenticate it. 
Step 5) Click on “Import and restore PST file into Outlook 365 mailbox.
