On-demand Index Life Cycle Change for SharePoint and OneDrive Search and Application Permission Based Requests

In an effort to streamline SharePoint and OneDrive Search, Microsoft is implementing changes to the life cycle of on-demand indexes and their application permission requests. Starting November 1, 2024, any on-demand index created through app-only permissioned requests that have not been queried in 100 days will be decommissioned. This change will not affect normal user or delegated permissioned Search traffic. Organizations should be aware of the potential index rebuild time for infrequent application searches, and make necessary preparations to account for the changes.

For custom applications that utilize public Search APIs such as Microsoft Search Graph API or SharePoint Search REST API, app-only permissioned requests can be made for Search content. When the initial request for private content is made, an on-demand index is created to serve those results. The time it takes to build the index is dependent on the size of the tenant, but can take anywhere from a few days to a week for medium-to-large tenants. Very large tenants will require even more time. During this time, search requests will only return public and shared content. Once the index is complete, both private and shared content will be returned.

Organizations with infrequent application searches that utilize Search with Application Permissions should plan for the time it takes to rebuild the on-demand indexes. If no additional search requests for private content are sent within 100 days, the private index will be decommissioned.

Overall, these changes aim to improve the efficiency and effectiveness of SharePoint and OneDrive Search.
