Microsoft Outlook: Meeting Insight is retiring

Microsoft Outlook: Meeting Insight is retiring

Microsoft is retiring Outlook’s Meeting Insights by early September 2026, replacing it with Microsoft 365 Copilot’s meeting preparation features for licensed users. Meeting Insights will be removed across platforms, with no action required but recommended communication, documentation updates, and user training. No compliance issues noted. What and Why: Microsoft is retiring Meeting Insights, the feature that surfaces relevant emails and files within meeting details. To provide a more intelligent and context-aware meeting preparation experience, users with a Microsoft 365 Copilot license can instead use Copilot meeting preparation experiences that summarize relevant content, tasks, and context available to the user. Rollout Schedule: Worldwide, GCC, GCC High: Retirement begins mid-August 2026; expected to complete by early September 2026. Impact on Your Organization: Who is affected: Users who currently use Meeting Insights. Organizations with Meeting Insights enabled. Microsoft 365 Copilot licensed users who will use the replacement experience. Platforms/Services: Outlook on the web New Outlook for Windows Outlook Mobile Outlook for Mac Microsoft Teams Microsoft 365 Copilot What will happen: Meeting Insights will be removed from meeting event details. Users will no longer see relevant files and emails surfaced through Meeting Insights. Users with a Microsoft 365 Copilot license can use the “Prepare for this meeting” experience. Copilot will summarize relevant meeting context, tasks, and documents available to the user. Meeting preparation content remains permission-trimmed based on user access. Action Required/Recommendations: No action is required. We recommend that you: Communicate this change to end users and help desk teams. Update internal documentation that references Meeting Insights. Review Microsoft documentation for the replacement Copilot experience. Provide user training for Copilot meeting preparation experiences if applicable. Compliance Considerations: No compliance considerations identified, review as appropriate for your organization.
