Microsoft Teams: Allow meeting participants to create Collaborative notes

Microsoft Teams is introducing an exciting new feature in the form of Collaborative Notes. Previously, only meeting organizers could create Collaborative notes before and after meetings. However, with the new enhancement, any meeting invitee can create notes before, during, and after the meeting. This allows improved collaboration and efficiency, providing a seamless team experience.

This change will be rolled out in two phases:

  • For Targeted Release users: The rollout will begin in late January 2024 and is expected to be completed by early February 2024.
  • For Standard Release users: The rollout will begin in mid-February 2024 and is expected to be completed by late February 2024.

With this feature, meeting invitees can add an agenda, meeting notes, and follow-up tasks on the Teams calendar meeting details page before, during, and after meetings. The Meeting notes will be shown on the right pane of the meeting window and can be opened in the browser or on a second monitor. Participants can continue real-time collaboration in meetings. Once assigned a task, participants will receive an email notification synced with Planner and To Do apps. Collaborative notes will be accessible for all participants on the Teams calendar meeting details page after the meeting concludes. Participants can easily copy the Agenda, Meeting notes, and Follow-up tasks into chats, group chats, emails, and other documents.

The only limitation is that only meeting organizers can hide the notes once they are created. Admins can manage this feature via Microsoft SharePoint PowerShell with the command "Set-SPOTenant -IsCollabMeetingNotesFluidEnabled (boolean)." No action is needed from users to prepare for this change. However, it may be useful to notify users and update relevant documentation.
