Dynamics 365 Field Service : Associate products and services with price lists

In Microsoft Dynamics 365 Field Service, associating products and services with price lists is essential for accurate pricing, invoicing, and profitability tracking during field operations. Here’s a detailed explanation of how this works and how to configure it:

Why Associate Products and Services with Price Lists?

In Field Service, price lists define how much customers are charged for products (physical items) and services (labor or other intangible work). By associating them correctly:

  • You ensure standardized pricing across work orders and agreements.
  • Field technicians see accurate prices in mobile or web apps.
  • Billing and invoicing reflect the correct customer-specific or service-specific rates.

Key Components Involved

  1. Price List: A list of prices for products, services, and other items.
  2. Product: A physical item used or sold during field service.
  3. Service: A labor-based activity (e.g., inspection, installation).
  4. Price List Item: A record that links a product or service to a specific price within a price list.

How to Associate Products and Services with Price Lists

Step 1: Create a Price List

  • Go to Dynamics 365 Field Service > Settings > Price Lists.
  • Click New.
  • Enter the Name, Currency, and other relevant fields.
  • Save the price list.

Step 2: Add Products to the Price List

  •  Navigate to the Price List record.
  •  In the Product Price List Items subgrid, click +New Product Price List Item.
  •  Choose the Product, Unit (e.g., per piece, per box), and set the amount.
  •  Save.

Step 3: Add Services to the Price List

  • On the same price list record, go to Service Price List Items.
  • Click +New Service Price List Item.
  • Choose the Service, Unit (e.g., per hour), and set the amount.
  •  Save.

Step 4: Associate the Price List with a Work Order

  •  When creating or updating a Work Order, select the appropriate Price List.
  •  This will apply the correct pricing to products and services used in the work order.

Step 5: Optional - Use with Agreements and Incidents

  • Price lists can also be linked to service agreements and incident types to automatically populate expected costs.

Considerations

  •  Multiple price lists can exist for different customers, regions, or service levels.
  •  If no price list is associated, the system may not calculate prices correctly.
  •  You can use price list rules and discount lists for advanced pricing scenarios.

Real-World Example

Suppose you provide air conditioner repairs. You create a service called "AC Diagnostic Visit" and a product called "CoolAir Filter." On your “Standard Price List,” the service might be \$100/hour and the filter \$25 each. When a technician adds both items to the work order, these prices are automatically applied and reflected in the invoice.

By properly associating products and services with price lists, Dynamics 365 Field Service ensures pricing accuracy, simplifies billing, and enhances customer satisfaction.
