What is a Mailbox in Dataverse?

It defines how emails, appointments, contacts, and tasks are synchronized between Dataverse and the connected email system (like Exchange Online, Exchange On-Premises, or POP3/SMTP).

Without configuring mailboxes, Dynamics 365 and other Dataverse-based apps cannot automatically send or receive emails, or track email activities against records like Accounts, Contacts, Leads, or Cases.

Components of a Mailbox

A mailbox record contains several important configurations:

1. Owner → User or queue that owns the mailbox.

2. Incoming Email Method → Defines how incoming emails are processed:

  • Server-Side Synchronization (recommended)
  • Outlook (legacy option)
  • None (no processing)

3. Outgoing Email Method → Defines how outgoing emails are sent:

  • Server-Side Synchronization
  • Dynamics 365 for Outlook (legacy)
  • None

4. Appointments, Contacts, Tasks Sync → Whether calendar and contact items sync with Exchange.

5. Email Server Profile → Links to the configuration that defines how Dataverse connects to the email server (e.g., Exchange Online).

6. Approval Status → Mailboxes must be approved by an admin to send/receive emails.

7. Test & Enable Results → Shows whether the mailbox passed the connection test.

Types of Mailboxes

Mailbox Lifecycle (Step by Step)

1. Create/Verify Mailbox

  • Mailboxes are automatically created when a user or queue is added in Dataverse.

2. Assign Email Server Profile

  • Select the correct profile (e.g., Exchange Online).

3. Configure Methods

  •  Set Incoming/Outgoing Email and Appointments, Contacts, Tasks to Server-Side Synchronization (best practice).

4. Approve Mailbox

  • Admin must approve the mailbox for security reasons.

5. Test & Enable Mailbox

  • Runs diagnostics to confirm synchronization works. If successful, emails start flowing automatically.

How Mailboxes Work in Practice

Incoming Emails → Processed by the configured method, stored as Email Activity records, and linked to related entities (e.g., a case is created from an incoming support email).

Outgoing Emails → Users can send emails from within Dynamics 365. The system uses the mailbox settings to deliver the email via the server.

Synchronization → Appointments, tasks, and contacts sync bidirectionally with Exchange, ensuring consistency between Outlook and Dynamics 365.

Best Practices for Mailboxes

  • Always use Server-Side Synchronization (fast, reliable, cloud-ready).
  • Use Exchange Online Email Server Profile if possible (simplifies setup, uses OAuth).
  • Regularly monitor mailboxes under Settings > Email Configuration > Mailboxes to check for errors.
  • For queues (like [[email protected]](mailto:[email protected])), ensure the mailbox is approved and tested before enabling case creation from emails.
  • Apply folder-level tracking to avoid excessive or irrelevant email tracking.
