Microsoft Dynamics 365 Customer Experience Analyst : Build forecasts from templates
What are Forecast Templates in Dynamics 365?
Forecast templates are predefined structures that help organizations quickly create forecasts without having to build everything from scratch. Instead of setting up rollup fields, hierarchies, or timeframes manually, you can use these templates to accelerate forecast creation and ensure consistency across teams.
Key Elements of Forecast Templates
When you build a forecast from a template, the template already includes:
1. Forecast Type – Individual (by user) or Organizational (by territory, team, or product).
2. Time Periods – Monthly, quarterly, yearly (predefined for the template).
3. Data Source – Which entity or table (like Opportunity) the forecast pulls data from.
4. Rollup Columns – Revenue, pipeline, quota, won deals, etc.
5. Filters – (Optional) Define which records are included (e.g., only “Open Opportunities”).
6. Layout – How the forecast grid is displayed (users, managers, teams).
Steps to Build Forecasts from Templates
1. Go to Sales Hub App → Forecasts.
2. Select “+ New Forecast”.
3. Choose “From Template” – You’ll see prebuilt forecast templates provided by Dynamics 365 (e.g., “Opportunity Forecast by Territory” or “Opportunity Forecast by Owner”).
4. Configure Basic Settings
- Name the forecast (e.g., “FY25 Sales Forecast”).
- Select the entity (most commonly Opportunity).
- Pick the time period (Monthly/Quarterly).
- Set the hierarchy (e.g., Manager > Sales Rep).
5. Review Rollup Columns – Templates include predefined columns like Won Revenue, Pipeline, Forecast, Quota. You can add or modify them.
6. Apply Filters – Example: include only “Open” and “Won” opportunities.
7. Set Permissions – Decide who can view or edit the forecast.
8. Save & Activate – Once activated, users will see their forecast grid populated.
Benefits of Using Templates
Faster Setup: No need to configure every detail manually.
Consistency: Standardized across teams, so all managers view forecasts the same way.
Best Practices: Templates come with Microsoft-recommended configurations.
Scalability: You can start with a template, then extend/customize as your business matures.
Example:
If you select the “Opportunity Forecast by Territory” template, the system will automatically:
Use the Territory hierarchy to roll up forecasts.
Include opportunity records.
Predefine columns like Pipeline, Best Case, Committed, Won.
Display results per territory manager and their subordinates.
In short, building forecasts from templates allows you to quickly implement forecasting in Dynamics 365, reduce setup effort, and provide sales teams with actionable insights immediately.
